View Full Version : doing tuition in quickbooks
I believe yours is different and it appears that you do want invoices but I
have done something similar for a small church group and they do not send
out invoices; each member knows what their tuition is and when to pay it.
Although I'd like to see invoices go out, it's a Church and their honor
system has always worked to date. We set the tuition up with items of 1
child through 6 children with respective amounts and then we just invoice
the entire year at once and apply the payments as they are rec'd. In the
summer, we just reinvoice each family again for the next year, making any
adjustments as to families paying tuition (people move in and out of the
area) and or number of children (some graduate/some new ones come on, etc.).
If this setup sounds like it will help and/or if you just want to discuss it
further, you can post here at the newsgroup or email me individually and I
will share what I know. (remove obvious NO SPAM wording from email to send
individually)

news:behtlk$hbp$1@bob.news.rcn.net... i am trying to setup qb to do tuition for a small school. tuition is, say, $1000/year for one child, and $1500/year for 1+ kids. it is payable in 10 monthly installments beginning 8/1. i went into memorized transactions and created a tuition -group- called tuition, but could not see how to create tuitionOneKid and tuitionOnePlusKids for 100 and 150 month respectively. how do i do that? 2) once i get that done, how do i associate tuitionOneKid with one family and tuitionOnePlusKids with another family, etc.? 3) once i get that done, how do i get qb do 'charge' these families their montly amount come 9/1? i read through the archive, the qb help and knowledgebase, and qb for dummies, but did not see the answer. thanks in advance
No everyone doesn't pay the same, it is a sliding scale the more children
the better the tuition, in as far as per child. I am not sure if they do
subsidies or not but I am thinking that for most part everyone pays their
own and for any family that is getting a donation towards tuition I believe
that they just list it as a payment. I would have to check further to see
if they show that it was not paid by the family itself or not. I am pretty
sure that they are not showing a distinction. I will discuss it with them
though to see if there is much subsidization and if it would be wise to
reflect it differently. I do not think they do any reporting to potential
grantors as they are a church and the subsidies would come from the weekly
offerings.

news:beiosb$4nl$1@slb6.atl.mindspring.net... Brenda, Assuming that everyone doesn't pay the same (do they?), is there a base
rate or is it a sliding scale? Do you account for the fact that some families are getting a subsidized rate? That is, do you keep track of the amount
of subsidization? I'm doing something similar for an afterschool program where we subsidize tuition. Its important to know how much is being subsidized (1) to set a limit on it, (2) for reporting to potential grantors.
